Kindly ensure that you provide all the necessary details when booking your desired tour(s). It is imperative to carefully review your confirmation and related travel documents to verify their accuracy. In the event of any discrepancies, such as booking errors concerning dates or the number of participants, please contact Arctic Journeys immediately. Please be aware that closer to your departure date, amendments to your reservation may not be feasible. Please note that Arctic Journeys cannot be held responsible for mistakes made during the booking process.
Arctic Journeys reserves the right to modify itineraries and/or timetables if deemed necessary, primarily due to adverse weather conditions or other relevant factors beyond our control (including force majeure). Please be advised that Arctic Journeys does not assume liability for expenses or other related costs arising from circumstances beyond our control, such as flight delays, changes or cancellations, injuries, adverse weather conditions, conflicts, economic impacts, natural disasters, pandemics, public health concerns, and other unforeseeable events. To ensure effective communication regarding any changes to the services you have booked, it is your responsibility to provide Arctic Journeys with accurate contact information and relevant details.
Kindly take note that all prices displayed for the services provided by Arctic Journeys are denominated in the local currency, namely the Icelandic Krona (ISK). Please be aware that any prices advertised in a currency other than the Icelandic Krona are subject to fluctuations in the exchange rate. Therefore, prices not explicitly stated in Icelandic Krona should be considered indicative only, with the Icelandic Krona price prevailing. As a local operator, Arctic Journeys cannot assume responsibility for currency fluctuations or additional fees imposed by external entities beyond its control, such as bank transfer fees and credit card fees.
Arctic Journeys reserves the right to modify its rates in the event of economic changes, which may include but are not limited to currency fluctuations, inflation, increased supply costs, tax adjustments, and other unforeseen circumstances. In the case of changes in value-added tax (VAT) or other taxes, the prices specified in the client's contract will be adjusted accordingly. Price adjustments resulting from tax changes will be applicable to all reservations, regardless of whether they were confirmed at previous prices or payment has already been made. All rates include VAT and are subject to official tax adjustments.
2.Pick-up & Drop-Off Services
Arctic Journeys is pleased to offer convenient pick-up and drop-off services for our tours. As a traveler, it is your responsibility to ensure a smooth pick-up experience. This entails providing Arctic Journeys with your preferred pick-up location during the booking process and being prepared at the correct time for the designated pick-up of your tour. Your booking confirmation voucher will include detailed information regarding your pick-up time and location. If you have any uncertainties regarding the time you should be ready for your scheduled tour, please feel free to contact us at firstname.lastname@example.org.
Please be aware that missing the scheduled pick-up does not entitle you to a refund of the price paid for the services. It is your responsibility to be prepared at the assigned pick-up point from the beginning of the pick-up time to ensure you do not miss our guides upon their arrival. To facilitate seamless communication during your time in Iceland, kindly provide us with the necessary contact information so that we can locate you if needed. If you happen to miss the starting time of your tour, a refund is not available. However, we will make every effort, whenever possible, to reschedule your tour for another day. Please note that rescheduling is subject to availability and cannot be guaranteed. Should you miss your tour and wish to request a reschedule, it is your responsibility to promptly contact Arctic Journeys.
For the utmost peace of mind during your travel, it is highly advisable to acquire a travel insurance policy that safeguards your investment in the event of unforeseen circumstances necessitating the cancellation of your travel reservation. We strongly recommend obtaining comprehensive travel insurance that encompasses all possible scenarios, including force majeure events, flight cancellations, and other potential disruptions to your travel plans. It is your sole responsibility to secure such travel insurance, which ensures coverage for various eventualities.
4. Icelandic weather and conditions
Please note that all adventure trips and outdoor activities offered by Arctic Journeys are subject to weather and overall conditions. Given the rapid weather changes in Iceland, particularly during winter, we retain the right to modify your itinerary and/or cancel your trip prioritizing your safety. In the event that Arctic Journeys cancels your tour due to adverse weather or unforeseen circumstances, a full refund will be provided. However, if you, as the customer, choose to cancel the tour based on weather considerations, a refund will not be granted. Rest assured that any tour conducted will have taken weather and safety factors into careful consideration.
Our guides possess extensive experience and receive specialized training to navigate changing conditions while ensuring the utmost safety for all participants. We kindly request that you acknowledge and respect their authority in making decisions regarding such matters.
In the rare instance that a significant portion of the tour cannot be delivered by Arctic Journeys due to unforeseen circumstances, and alternative arrangements cannot be made, a partial refund will be issued. This refund will be directly proportional to the cost associated with the affected activity and will not follow a fixed percentage of the overall tour cost. In such a case, the Arctic Journeys team will contact you directly to discuss the situation and facilitate the necessary arrangements.
It is essential to wear appropriate outdoor clothing and footwear during our tours. We retain the right to decline participation to clients who are not dressed appropriately or lack suitable footwear, as this may jeopardize their well-being and safety.
While specific clothing requirements are not specified, it is crucial to consider the unpredictable and varying weather conditions in Iceland. The climate can be wet, windy, and cold, even during summer. Therefore, it is advisable to come prepared with clothing that can withstand such conditions. Please note that your guide will have the final authority to determine your eligibility to participate in any activities based on your level of preparedness. In the event that you are unable to take part in an activity due to your unpreparedness, a partial refund will not be granted.
6. Assumed risk and outdoor activities
Guests/clients are advised that all activities are undertaken at their own risk, and it is crucial to conduct oneself in a suitable and responsible manner at all times, in accordance with our guidelines or those of our partners. You must assume full responsibility for your own safety. It is important to acknowledge that all outdoor tours and activities inherently carry risks, and Arctic Journeys does not accept liability for accidents caused by clients, attributable to their own actions, or resulting from circumstances beyond human control (force majeure). By purchasing your trip, you agree to these conditions, comprehend their implications, and accept responsibility for your participation in the tour. Depending on the specific excursion, you may be required to sign an additional liability waiver or disclose relevant medical information.
It is your responsibility to thoroughly read the tour description and review any associated guides that provide detailed information about the activities involved. Your ticket will include specific instructions relevant to your tour. If you have any uncertainties regarding your ability to participate in certain activities, it is your responsibility to contact Arctic Journeys prior to the tour to address any concerns.
7. Alcohol and drugs
We maintain the right to decline participation to clients whom we suspect to be under the influence of alcohol or drugs. In such instances, no refund will be provided. Additionally, our guides hold the right to refuse participation to any client whose behavior or demeanor may cause offense, distress, or jeopardize the safety of others, including fellow clients and the guide. In such cases, full cancellation charges will apply.
8. Reviews and feedback
At Arctic Journeys, we value and encourage feedback from our customers as it helps us enhance our services and overall performance. We sincerely appreciate it if you could take the time to share your tour experience with us. Your feedback is invaluable in our continuous efforts to provide exceptional service.
We cannot assume responsibility for any losses or expenses incurred as a result of flight delays or changes, injuries, damages, negligence, weather conditions, acts of war, or any other unforeseeable causes (force majeure). The estimated duration of tours, as indicated on our website, serves as a general guideline and may vary based on road or weather conditions. While punctuality is of utmost importance to North Pole Studio's operations, unforeseen delays may occur. Please note that the company cannot be held liable for any losses experienced by passengers due to delays, regardless of whether the loss is direct or indirect.
10. Refund policy
We understand that changes in plans can occur, and there might be instances where you need to cancel or reschedule your private jeep tour. Please take a moment to review our cancellation and refund policy outlined below.
For cancellations made at least 10 days prior to the tour date, a full refund will be issued. Cancellations made between 3-9 days prior to the tour date will be eligible for a 50% refund. Unfortunately, cancellations made within 2 days of the tour date or no-shows will not be eligible for a refund.

In situations where inclement weather or unforeseen circumstances prevent us from conducting the tour as scheduled, we will make every effort to accommodate you by rescheduling the tour for a later date or providing a full refund.

12. Laws and legal venues
This agreement is governed by and in accordance with Icelandic law. In the event of a legal dispute, it shall be brought before the appropriate court, such as the Reykjavík District Court if the company is located in Reykjavík, or the Reykjanes District Court if the company is located in Garðabær, Kópavogur, and so on. These Terms and Conditions are subject to and comply with Icelandic law.
